Refund policy

Refund, cancellation, and rescheduling terms for crypto tax gain estimates and related engagements with Neural Systems Digital.

Scope

This policy applies to paid engagements with Neural Systems Digital: annual crypto tax gain estimates, exchange history reconciles, and cost basis method reviews. It does not cover third-party software store purchases.

Eligibility

Refunds depend on how far the engagement has progressed and whether deliverables have been issued.

Full refund

A full refund of amounts paid is available if you cancel in writing before we confirm that source-file review has started, or if we cancel because we cannot staff the engagement within the agreed window.

Partial refund

If work has started but no draft schedule or session has been delivered, we may refund up to 50% of fees paid after deducting time already spent at the quoted effective rate, documented on request.

Non-refundable items

  • Deposits after draft delivery of a gain schedule, transfer map, or session summary
  • Rush surcharges once rush work has begun
  • Time spent on files you later replace with substantially different exports after a draft was issued

Timeframe to request

Refund requests must be emailed to info@neural-systems.digital within 14 days of the event giving rise to the request (cancellation, missed start date, or documented delivery failure).

Process

  1. Email info@neural-systems.digital with your invoice number and reason.
  2. We confirm eligibility within five business days.
  3. Approved refunds are processed to the original payment method within 14 business days of approval.

Cancellation and rescheduling

You may reschedule a cost basis review session once with at least 48 hours’ notice at no charge. Later changes or no-shows forfeit the session fee. For multi-day desk estimates, pausing mid-engagement may incur a restart fee if files change materially.

Deposits and no-shows

The 40% deposit for annual estimates and reconciles is credited toward the final invoice. If you abandon the engagement after deposit and after file review has started, the deposit is non-refundable.

Work already started

Once we have imported your files into Smart Crypto Calculator PC and begun reconcile notes, fees reflect work performed even if you choose not to receive the final PDF.

Exceptions

If a confirmed quote contained a clear pricing error attributable to us, we honour the lower figure or cancel with a full refund at your option. Statutory rights under Hong Kong law that cannot be excluded remain unaffected.
